This policy applies to all Onezo services, including Onezo CRM, Onezo ERP, Onezo Prent App, Onezo Exam App, Onezo Teacher App ("Onezo", "we", "us", or "our"). We are committed to protecting personal data, especially for families and educational institutions.

Family & Child Privacy Commitment: Onezo is designed to empower parents, teachers, and administrators while protecting personal data. We do not sell personal or child data to advertisers or third parties. Child data is processed strictly with parental or institutional consent, in compliance with COPPA, GDPR, FERPA, and other applicable regulations.

1. Information We Collect

We collect information based on the specific Onezo product and your role (parent, student, teacher, administrator, customer).

A. Account & Profile Information (all services)

  • Identity data: name, email, phone, username, hashed password.
  • Institution/Company details: school name, role, department (ERP, CRM, Teacher).
  • Billing: processed securely via payment providers; we never store full card numbers.

B. Onezo Prent App (Parental Monitoring & Safety)

With explicit parental consent and device permissions, we may collect:

  • Location Data: real-time device location for geofencing and safety alerts.
  • App Usage & Screen Time: installed apps, usage duration, activity patterns.
  • Device information: model, OS, identifiers, battery level.
  • Web & Search: browsing history only if web filtering is enabled.

C. Onezo Exam App & Teacher App (Educational Data)

  • Performance data: quiz/exam results, assignments, grades, feedback.
  • Classroom analytics: attendance, participation metrics (Teacher App).
  • Educational metadata: course names, subject, learning progress.

D. Onezo CRM & ERP (Business/Institution Data)

  • Contact details: leads, customer/vendor information, communication logs.
  • Operational data: inventory, financial transactions, employee records.
  • User activity logs: access times, feature usage, support requests.

2. How We Use Information

  • Core functionality: monitoring, exam management, CRM pipelines, ERP workflows, teacher dashboards.
  • Parental visibility: real-time alerts, screen time, location history.
  • Educational improvement: personalized insights, teacher analytics.
  • Business operations: lead management, inventory, finance, communication.
  • Security & support: fraud prevention, troubleshooting, reliability.
  • Legal compliance: COPPA, FERPA, GDPR requirements.

3. Children’s Privacy & Parental/Institutional Consent

Onezo is committed to protecting children's privacy. Child-directed features are used only after:

  • A parent or legal guardian grants verifiable consent (for home use), or
  • An educational institution provides consent under FERPA (or equivalent) for school accounts.

We do not knowingly collect personal information from children under 13 without proper consent. Contact us if you believe a child provided data without authorization.

4. Data Sharing and Disclosure

We never sell, rent, or trade personal data.

  • Service Providers: cloud hosting (AWS, GCP), analytics, support tools – under strict confidentiality.
  • Authorized educational entities: schools/districts using Teacher/Exam with data protection agreements.
  • Legal requirements: comply with law, subpoena, or protect safety.
  • Business transfers: merger/acquisition with continued privacy safeguards.

5. Data Security & Retention

  • Encryption: TLS 1.2+ in transit, AES-256 at rest.
  • Access control: role-based access, MFA for admins.
  • Audit trails: all access to sensitive data is logged.

Retention: Child location and usage logs are anonymized after 60 days. Exam results and CRM records retained as required by institutional/legal obligations. Deletion requests processed within 30 days.

6. Your Rights and Choices

  • Access & export your personal data.
  • Rectify inaccurate information.
  • Delete child profiles, student data, or accounts.
  • Revoke permissions (e.g., location access).
  • Opt out of non-essential communications.
  • School accounts: coordinate through institution's admin.

7. International Data Transfers

Onezo operates globally, and data may be processed in countries where we or our service providers maintain facilities. We ensure adequate safeguards (Standard Contractual Clauses or equivalent) for cross-border transfers.

8. Changes to This Policy

We may update this policy periodically. We will notify you via email, in-app notice, or by updating the "Last Updated" date. Continued use after changes constitutes acceptance.
